Removing all distributions of a customer
Introduction: What is removing all distributions?
Removing all distributions of a customer means putting all products you have assigned to a customer back into stock at once. This is useful, for example, when the customer cancels the entire order or when you want to start distributing again.
Why remove all distributions?
You want to remove all distributions of a customer because:
- The customer has cancelled their entire order
- You have made mistakes and want to start over completely
- The order is not going through and the products must be available again for other customers
- You accidentally distributed to the wrong customer
- It's faster to remove everything and redo it than to adjust each product separately
Note: This removes ALL distributions of this customer on this day. Do you only want to remove one product? Then don't use this method, but adjust the distribution manually.
How do you remove all distributions of a customer?
Step 1: To the customer
Open Distribution
- Go to "Distribution"
- Click on "Per debtor"
- You now see a list of customers
Select customer
- Find the customer whose distributions you want to remove
- Click on this customer
- You now see all products you have distributed to this customer
Step 2: Open selection menu
Start selection
- Find the down arrow (dropdown menu, usually at the top of the screen)
- Click on this arrow
- A menu now opens with options
Activate selecting
- Double-click on "Select" in the menu
- This activates selection mode
- You can now select products
Note: You really need to click on "Select" twice. The first time opens the menu, the second activates the selection.
Step 3: Select all distributions
Apply selection
- Click on "Select" again (this is now the third time you click on it)
- This automatically selects all distributions of this customer
- You now see that all distributions are marked
What happens?
- All products distributed to this customer are selected
- This can be 1, 5, 10 or more products
- They are now all selected at once
Step 4: Delete
Delete distributions
- Click on "Delete"
- A confirmation question may appear: "Are you sure?"
- Click on "Yes" or "Confirm"
- All distributions are now removed
What happens now?
- All products are uncoupled from this customer
- The products return to stock
- Other customers can now get these products
- The customer no longer has distributions for today
Done! All distributions of this customer are removed.
Practical examples
Example 1: Customer cancels entire order
- Situation: Customer Jansen ordered 20 roses, 10 tulips and 5 lilies, but cancels everything
- Action:
- Go to Distribution → Per debtor → Jansen
- Click on arrow → double-click on Select
- Click on Select again (everything is now selected)
- Click on Delete
- Result: All 3 products are back in stock, Jansen has nothing
Example 2: Wrong customer
- Situation: You accidentally distributed 15 products to Pietersen instead of Peters
- Action:
- Go to Pietersen
- Remove all distributions with the above method
- Go to Peters
- Now distribute the products to the right customer
- Result: Mistake corrected, the right customer now has the products
Example 3: Start over
- Situation: You made many mistakes when distributing to customer De Boer
- Action:
- Remove all distributions of De Boer
- Start distributing again
- Now do it more carefully
- Result: Clean slate, you can start over without mistakes
Example 4: Partial cancellation
- Situation: Customer Vermeer cancels only the roses, not the tulips
- Action:
- Don't use this method! This removes everything
- Click instead on the distribution of the roses
- Adjust the quantity to 0 or only remove this distribution
- Result: Only roses removed, tulips remain
Important tips
Tip 1: This removes everything!
- Be careful with this function
- All distributions of the customer are removed
- Do you only want to remove one product? Then use a different method
- Check carefully whether you have selected the right customer
Tip 2: Double-check before deleting
- Look carefully which customer you have selected
- Check whether you really want to remove all distributions
- There is no "undo" button after deleting
- Better to check twice than to be wrong once
Tip 3: For partial cancellations
- Don't use this method if the customer only cancels part
- Then only adjust those specific distributions
- For example: customer cancels roses but keeps tulips → only adjust roses
Tip 4: Communicate with the customer
- If a customer cancels, confirm this first
- Make sure the entire order is not going through
- Then you can safely remove everything
Tip 5: Check stock afterwards
- After removing, the products are available again
- Check whether they are really back in stock
- Now other customers can get these products
Frequently asked questions
Question: Can I undo it?
- No, once removed is removed
- You have to redistribute if you need it after all
- So be careful and check well before clicking Delete
Question: Why do I have to click on Select three times?
- First time: Open the menu
- Second time: Activate selection mode
- Third time: Select all
- This prevents accidents (you really need to be conscious)
Question: Can I delete selectively?
- Not with this method
- This method selects and deletes everything at once
- Want to be selective? Then click on individual distributions and remove them one by one
Question: What happens to the invoice?
- If no invoice has been created yet: no problem
- If an invoice has already been made: it remains!
- You then need to make a credit note to correct the invoice
Question: Do products really return to stock?
- Yes, absolutely
- They are immediately available again for other customers
- The stock is automatically updated
Question: Does this also work for multiple days?
- No, only for the selected day
- Does the customer have distributions on multiple days? Then repeat the process per day
- Or adjust the date and do it again
What to do with problems?
Problem: Selecting doesn't work
- Check whether you really clicked the arrow
- Try refreshing the page (F5)
- Click slowly and consciously on each step
- Follow the steps exactly as described
Problem: Delete button is not visible
- Maybe there are no distributions to remove
- Check whether you have selected the right customer
- Refresh the page and try again
Problem: Not all distributions are gone
- There may be distributions on other days
- Check the date and repeat the process for other days
- Or new distributions have been added while you were busy
Problem: Wrong customer by accident
- Unfortunately you can't undo this
- You have to redistribute the products to the customer
- Be extra careful with selecting from now on
Problem: Products not back in stock
- Refresh the stock page
- Check whether the distributions are really removed
- Possibly they have already been distributed to another customer
- If it stays wrong: contact support
Alternative methods
Method 1: Remove one distribution
- Click on the specific distribution
- Click on "Delete" (or adjust quantity to 0)
- Only this product is removed
Method 2: Adjust quantity to 0
- Click on the distribution
- Adjust the quantity to "0"
- The product is then also removed but in a different way
Method 3: Manually remove everything one by one
- Slower but more control
- Click each distribution and remove
- Useful when you want to double-check
When to use and when NOT to use?
DO use when:
- Customer cancels entire order
- You want to start completely over
- You distributed to the wrong customer
- Made a big mistake and everything must go
DON'T use when:
- Customer only cancels part of the order
- You only want to remove one product
- You're not sure if everything must be removed
- An invoice has already been created (solve this differently)
