Pricing incoming products
Setting selling prices and putting products online or in stock
Introduction: What is pricing products?
Pricing products means setting a selling price for each purchased product. This is the price customers will pay on the webshop or during distribution. Without a price you cannot sell a product or put it on the webshop.
Why price products?
You need to price products because:
- Products without a price cannot be sold
- You cannot put them on the webshop without a price
- The system needs to know the amount you sell the product for
- You make profit by charging a higher selling price than the purchase price
- Customers need to know what something costs before ordering
- It is required before you can distribute or sell online
How do you price products?
Step 1: Go to the pricing menu
Open Distribution
- Go to the "Distribution" tile
- Check that the location is correct (for example main location)
- Check that the date is correct (usually today's date)
- This is very important! Otherwise you'll see the wrong products
Open pricing menu
- Click on "(General) Prices"
- You now see an overview of all products that still need to be priced
Step 2: Recognising and selecting products
Understanding colour coding
You see a coloured bar on the left side of each product:
- Red bar: This product has not been priced yet and is not on the webshop
- Green bar: This product has been priced and is in stock (and possibly on the webshop)
Goal: Make all red bars green by pricing the products.
Select product
- Always start with the top product in the list
- Click on this product
- The product opens and you can now enter the price
Step 3: Enter price
Determine selling price
You now have to decide what price you want to sell this product for.
How do you determine the price?
- Look at the purchase price (what you paid for it)
- Add your profit margin (for example 50% or 100%)
- Or use any markups you have set (these are applied automatically)
- The system can also already show a suggested price
Enter price
- Click in the field for the selling price
- Type the price (for example "1.50" for 1.50 euro)
- Press Enter or choose one of the two options below
Step 4: Process product
Now you have two choices: put the product directly on the webshop, or only put it in stock.
Option A: Put product on webshop (recommended for normal products)
Use this option when the product is ready to be sold.
- Click on "Shop" at the top
- Or: Press the Enter key on your keyboard (this is faster!)
- The product now gets a green bar and is on the webshop
- Customers can now order it online
When to use?
- The product is of good quality
- You have sufficient stock
- The price is correct
- You want customers to be able to order it
Option B: Only put in stock (for internal use)
Use this option when the product cannot go online yet, but can be distributed internally.
- Click on "Stock"
- The product gets a green bar but is NOT on the webshop
- You can still distribute it internally to customers
When to use?
- The product is reserved for a specific customer
- The quality is questionable
- You want to sell it internally first before going online
- It's a special product not meant for everyone
Step 5: Repeat for all products
Pricing next products
- The system automatically goes to the next product (with red bar)
- Enter the price
- Click on "Shop" or press Enter
- Repeat for the next product
Continue until done Keep repeating until:
- All bars are green
- There are no red bars left
- All products have a price
Done! Your products are now priced and can be sold.
Extra: Removing products from the webshop
Sometimes you want to remove a product from the webshop (for example when it's sold out or the quality is disappointing).
Remove product from webshop
- Go to "Distribution"
- Click on "(General) Prices"
- Find the product you want to remove from the webshop
- Click on this product
- Click at the top on "Reset status"
- The product has now been removed from the webshop
What happens?
- The product disappears from the webshop
- Customers can no longer order it online
- It remains in your stock
- You can still distribute it internally
Practical examples
Example 1: Normal workday - price 20 products
- Situation: You have 20 new products that need to be priced
- Action:
- Go to Prices
- Select first product (red bar)
- Enter price → press Enter (to webshop)
- Next product → price → Enter
- Repeat 20 times
- Result: All 20 products are priced on the webshop
Example 2: Product for specific customer
- Situation: You have exclusive roses for customer Jansen, may not go on webshop
- Action:
- Select the roses
- Enter price
- Click on "Stock" (NOT on Shop!)
- Result: Roses are priced, you can distribute them to Jansen, but they are not online
Example 3: Product sold out
- Situation: A product is on the webshop but is now sold out
- Action:
- Go to Prices
- Find the sold-out product
- Click on Reset status
- Result: Product is removed from webshop, customers can no longer order it
Example 4: Mistake in price
- Situation: You accidentally entered 15.00 euro instead of 1.50 euro
- Action:
- Find the product in Prices
- Click on it
- Adjust the price to 1.50
- Click on Shop or Enter
- Result: Price is corrected on the webshop
Important tips
Tip 1: Use the Enter key
- Instead of clicking on "Shop" each time, press Enter
- This is much faster with many products
- You save time and clicks
Tip 2: Work systematically from top to bottom
- Always start at the top of the list
- Process each product before moving to the next
- This prevents you from skipping products
Tip 3: Check your prices
- Check whether the price is logical
- Compare with purchase price (selling price must be higher!)
- Check whether markups are correctly applied
- Better to check now than to correct later
Tip 4: Reserve products for regular customers
- Use "Stock" for products that cannot go online
- This prevents others from buying them online
- You can then distribute them internally to the right customer
Tip 5: Remove sold-out products from the shop
- Customers get frustrated if they order something that is no longer there
- Remove products from the webshop in time with "Reset status"
- This keeps your webshop up-to-date and reliable
Tip 6: Always check date and location first
- Forgetting this is the most common mistake
- Check this every time before you start
- Otherwise you might price the wrong products
Frequently asked questions
Question: What's the difference between Shop and Stock?
- Shop: Product goes into stock AND on the webshop (customers can order online)
- Stock: Product only goes into stock (only internal distribution possible, not online)
Question: Can I change the price later?
- Yes, you can
- Go back to Prices, select the product, and adjust the price
- Click again on Shop or Stock to confirm
Question: Why are some products not in the list?
- They may already be priced (have green bar)
- Or the date/location is wrong
- Or they have not been received yet
Question: Do I really have to manually price each product?
- Yes, for the first time you do
- You can set markups that are applied automatically
- But you have to confirm each product with Shop or Stock
Question: Can I price in bulk?
- Not directly all at once
- But with the Enter key it goes very quickly
- Experienced users do 100 products in 10 minutes
Question: What if I remove a product from the shop?
- It remains in your stock
- You can still distribute it internally
- It's just no longer visible online
What to do with problems?
Problem: I don't see any products with red bars
- Maybe all products are already priced (all bars green)
- Check whether date and location are correct
- Or there are no new purchases today?
Problem: Price is not saved
- Press Enter or click on Shop/Stock
- Just entering is not enough, you have to confirm
- Check whether you entered a valid amount (no letters)
Problem: Product is not on webshop after pricing
- Did you click on "Shop" or on "Stock"?
- "Stock" does NOT put it on the webshop
- Select the product again and now click on "Shop"
Problem: Wrong price entered
- No problem, you can adjust it
- Find the product in Prices
- Adjust the price and click again on Shop
Problem: Product doesn't disappear from webshop
- Did you click on "Reset status"?
- Refresh the webshop page (possibly cached)
- Check whether you selected the right product
Workflow for an efficient workday
Step 1: Preparation (1 minute)
- Go to Distribution
- Check date and location
- Open Prices menu
Step 2: Pricing (main work)
- Select first product with red bar
- Enter price
- Press Enter (or click Shop for online, Stock for internal only)
- Repeat for each product
Step 3: Check (2 minutes)
- Scroll through the list
- Check whether all bars are green
- No more red bars? Done!
Step 4: Webshop check (optional)
- Check the webshop
- Are all new products on it?
- Are the prices correct?
Average time:
- Pricing 1 product: 5-10 seconds
- 50 products: 5-10 minutes
- With practice this gets faster and faster
Summary
You price products and put them on the webshop to make new purchases sellable:
- Go to Distribution → check date and location → click on (General) Prices
- You see products with red bars (unpriced) and green bars (already priced)
