Selectively or in bulk: putting products online and managing them

Introduction: What is permanently placing products on the webshop?

Permanently placing products on the webshop means putting products online so customers can order them, and they remain there until you remove them again. This is different from regular pricing where you decide per product, because here you put multiple products online at the same time or remove them at the same time.

Why permanently place products on the webshop?

You want to do this because:

  • You can put multiple products online at once (faster than one by one)
  • Products remain visible until you remove them (permanently displayed)
  • You have full control over what is and isn't online
  • You can quickly switch between online and offline
  • It is efficient for large stocks
  • You can experiment with which products you do or don't want online

Note: This guide assumes you have already created a list group and configured that your stock should be shown on the shop. Without this setting this function does not work properly.

How do you permanently place products on the webshop?

There are two methods: selective (choosing specific products) or all at once (all stock in one go).


Method 1: Selectively put products on the webshop

Use this method when you want to choose yourself which products go online.

Step 1: To the per purchase overview

Open Distribution

  1. Go to the "Distribution" tile
  2. Check that the location is correct
  3. Check that the date is correct
  4. Click on "(Distribution) Per purchase"
  5. You now see a list of all products in your stock

Step 2: Open selection menu

Show extra options

  1. Find the search bar at the top of the screen
  2. Below the search bar there is an arrow pointing down
  3. Click on this arrow
  4. Extra options now open

Step 3: Select products

Activate selection mode

  1. Click on "Select" in the menu
  2. Now you can tick/select products

Choose products

  1. Tick the products you want to put on the webshop
  2. You can select multiple products at once
  3. For example: 5 different types of roses and 3 types of tulips

Confirm selection

  1. Once you have ticked all desired products
  2. Click on "Select" again
  3. Your selection is now active

Step 4: Move to webshop

Use Shop button

  1. If the selection is correct, options appear in the top right of the screen
  2. Find the "Shop" button
  3. Click on "Shop"

What happens now?

  • The selected products get a completely blue left line
  • This means the product is permanently on the webshop
  • Customers can now order these products online
  • They remain online until you remove them

Done! The products are now permanently online.


Extra: Remove products from webshop (selective)

If you want to take products off the webshop, you do almost the same.

Steps

  1. Follow steps 1, 2 and 3 above (select the products that should go offline)
  2. Instead of the "Shop" button you now see the "Reset status" button
  3. Click on "Reset status"
  4. The products are removed from the webshop
  5. The blue line disappears

Result: These products are now offline and can no longer be ordered online.


Method 2: Put everything on webshop at once

Use this method when you want to put all stock online in one go.

⚠️ IMPORTANT WARNING: This method skips the pricing of products! Only use this when:

  • You have already set markups that are applied automatically
  • You know that all products will automatically get the correct price
  • You understand what you are doing

Do NOT use this if you need to price manually!

Step 1: To the pricing menu

Open Prices

  1. Go to "Distribution"
  2. Check location and date
  3. Click on "(General) Prices"

Step 2: Move everything to shop

More options menu

  1. Click at the top on "More..."
  2. A menu opens with options

Move to shop

  1. Click on "Move to Shop"
  2. Note: This puts EVERYTHING online without checking prices!
  3. All stock is now on the webshop

Warning repeated:

  • This skips pricing
  • Only do this with active markups
  • Otherwise products with wrong prices are online

Extra: Remove everything from webshop

If you want to take everything offline at once:

Steps

  1. Go to Distribution → Prices
  2. Click at the top on "More..."
  3. Click on "Remove from Shop"
  4. All products are removed from the webshop

Result: Your webshop is now empty, nothing can be ordered online anymore.


Important condition: List group settings

Note: This function only works if you have the right settings.

What do you need?

  • A list group created in the Sales tile
  • Configured that your stock must be shown on the shop
  • This basic configuration must be correct

If this doesn't work:

  • Consult the guide for creating list groups
  • First configure the basic settings
  • Only then can you use this function

Practical examples

Example 1: Selected products online (selective)

  • Situation: You have 50 products, but only want the 20 best online
  • Action:
    1. Go to Per purchase
    2. Click arrow → Select
    3. Tick the 20 best products
    4. Click Select again
    5. Click on Shop
  • Result: Only those 20 products are online with blue line

Example 2: Take seasonal products offline

  • Situation: Tulip season is over, take them off the shop
  • Action:
    1. Select all tulips
    2. Click Reset status
  • Result: Tulips are offline, other products remain online

Example 3: Everything online at once with markups

  • Situation: You have set 60% markup on all products
  • Action:
    1. Go to Prices → More... → Move to Shop
    2. All products automatically get 60% markup and go online
  • Result: Entire stock is online with correct prices

Example 4: Emergency stop - everything offline

  • Situation: There's a problem, you want to temporarily close the webshop
  • Action:
    1. Go to Prices → More... → Remove from Shop
    2. Everything goes offline
  • Result: Webshop is empty, no orders possible

Example 5: Only premium products online

  • Situation: You only want your best quality online, sell the rest internally
  • Action:
    1. Select only A-quality products
    2. Put these online with Shop button
    3. B-quality stays offline for internal use
  • Result: Webshop only shows top quality

Important tips

Tip 1: Check your markups first

  • Before using "Move to Shop"
  • Check if your markups are correctly set
  • Test with one product whether the price is correct
  • Only then do everything at once

Tip 2: Use selective for more control

  • Method 1 (selective) gives more control
  • You choose exactly what goes online
  • Safer than everything at once
  • Recommended for beginners

Tip 3: Watch the blue line

  • Blue line = online on webshop
  • No blue line = offline
  • This way you see the status at a glance

Tip 4: Test your webshop

  • After putting products online: check the webshop
  • Are all products really there?
  • Are the prices correct?
  • Testing prevents problems

Tip 5: List group is essential

  • Without a list group this doesn't work
  • Make sure this basis is correct
  • For problems: first check the list group

Tip 6: Work systematically

  • First premium products online
  • Then standard assortment
  • Keep leftovers and lower quality offline

Frequently asked questions

Question: What's the difference between regular pricing and this method?

  • Regular pricing: You price products one by one and decide per product
  • This method: You put multiple products permanently online at once
  • Both can be combined

Question: Can I put products online without a price?

  • Not recommended!
  • Only with "Move to Shop" if markups are active
  • Otherwise no price and no sale possible

Question: What does the blue line mean exactly?

  • Completely blue left line = product is permanently online
  • No blue line = product is offline
  • This is different from the green/red bars at pricing

Question: Do products stay online if I close the page?

  • Yes! Permanent really means permanent
  • They stay online until you remove them with Reset status
  • Or until they are completely sold out

Question: Can I still adjust the price later?

  • Yes, you can always do that
  • Go to Prices and adjust the price
  • Product stays online with new price

Question: Does this also work without a list group?

  • No, list group is required
  • This is the basic configuration
  • Without a list group, products do not appear on the webshop

What to do with problems?

Problem: Shop button doesn't appear

  • Check whether you have selected products
  • Click on Select twice (first time activate, second time confirm)
  • Refresh the page and try again

Problem: Products don't appear on webshop

  • Check if list group is correctly set
  • Check whether products have a blue line
  • Refresh the webshop (cache may be outdated)
  • Check whether the webshop is even active

Problem: Wrong prices on webshop

  • Did you use "Move to Shop" without markups?
  • Take everything offline with "Remove from Shop"
  • Price products correctly first
  • Then put them selectively online

Problem: Cannot remove products from shop

  • Check whether you selected the right products
  • Click on Reset status (not on Shop)
  • Refresh and try again

Problem: Everything is online but shouldn't be

  • Use "Remove from Shop" to take everything offline
  • Then select only what may go online
  • Put those selectively online with Shop button

Regular pricing method:

Summary

You permanently place products on the webshop to put multiple products online at the same time:
