Packed orders: registering items per box

Introduction: What are packed orders?

Packed orders is a feature that lets you keep track of which products are in which box. You create digital boxes in the system, add products to each box, and can then print stickers showing what is in each box. This way everyone knows exactly where each product is.

Why use packed orders?

You want to use packed orders because:

  • You know exactly which product is in which box
  • You can print which box contains what (stickers on boxes)
  • The packing slip can show in which box each item is
  • Customers can more easily find their products among multiple boxes
  • You can clearly divide large orders across multiple boxes
  • It prevents you from having to search all boxes to find one product

Practical example: A customer orders 100 roses and 50 lilies. You put 50 roses in box 1, 50 roses in box 2, and 50 lilies in box 3. On each box you stick a sticker with the contents. The customer then immediately knows where everything is!

How do you work with packed orders?

Step 1: Go to the packed orders menu

Open logistics distribution

  1. Go to "Logistics distribution"
  2. Click on "(General) Packed orders"
  3. You now see a list of customers with orders

Select customer

  1. Find the customer whose orders you want to pack
  2. Click on this customer
  3. You now see this customer's order

Step 2: Create boxes

Now you'll create digital boxes in the system. Each box you physically use, you also create in the system.

Create a new box

  1. Click on "New" to create a new box
  2. You now see a screen with options

Choose packaging

  1. At "Packaging", choose what kind of box you're using
  2. Examples:
    • Small box
    • Large box
    • Cardboard box
    • CC container
    • Crate
  3. This depends on which packaging types are configured in your system

Save box

  1. Click on "Apply"
  2. The box is now created and ready to fill

Repeat this for every box you need. If you use 5 boxes, create 5 digital boxes.


Step 3: Add products to boxes

Now you'll add products to the boxes you created.

Open box

  1. Click on the box where you want to add products
  2. The box opens and is ready to fill

Add products You have two ways to add products:

Option A: With scanner (fastest method)

  1. Scan the product's barcode
  2. The product now appears on the screen
  3. Continue to the "Choose quantity" step

Option B: Without scanner (manual search)

  1. Click on "New"
  2. You now see all products from this customer's order
  3. Find the product you want in this box
  4. Click on the product to select it

Choose quantity

  1. Choose how many units of this product go in this box
  2. Example: The customer ordered 50 roses
    • 25 roses in box A
    • 25 roses in box B
  3. So fill in "25" for box A

Save product in box

  1. Click on "Apply"
  2. The product is now added to this box

Repeat this for all products that need to go in this box. Then continue with the next box.


Step 4: Print box stickers

Once all boxes are filled with products, you can print stickers for the boxes.

Print stickers

  1. Check that all products are in the correct boxes
  2. Click on "Print"
  3. Stickers are now printed for all boxes
  4. Each sticker shows:
    • Box number (for example "Box 1 of 3")
    • Which products are in it
    • How many units of each product

Stick stickers on boxes

  1. Take the printed stickers
  2. Stick them on the corresponding physical boxes
  3. Done! The customer can now immediately see what is in each box

Practical examples

Example 1: Large order with multiple products

  • Situation: Customer Jansen orders 100 roses, 50 tulips and 30 lilies
  • Action:
    1. Create 3 boxes
    2. Box 1: 50 roses
    3. Box 2: 50 roses
    4. Box 3: 50 tulips + 30 lilies
    5. Print stickers
  • Result: Customer Jansen knows exactly which products are in which box

Example 2: Small order in one box

  • Situation: Customer Pietersen orders 20 roses and 10 tulips
  • Action:
    1. Create 1 box
    2. Add 20 roses
    3. Add 10 tulips
    4. Print sticker
  • Result: Everything is neatly in one box with a clear sticker

Example 3: Distributing heavy products

  • Situation: Customer has ordered 200 plants (too heavy for one box)
  • Action:
    1. Create 4 boxes
    2. Distribute: 50 plants per box
    3. Print stickers with "Box 1 of 4", "Box 2 of 4", etc.
  • Result: Employees can lift boxes easily and customer sees that it's complete

Example 4: Special instructions per box

  • Situation: Some products must stay cool
  • Action:
    1. Box 1: Normal products (tulips, roses)
    2. Box 2: Cool products (special lilies)
    3. The sticker shows per box what is in it
  • Result: Customer knows which box should go directly into refrigeration

Important tips

Tip 1: Logical distribution

  • Distribute products logically across boxes
  • Put similar products together (all roses in one box)
  • Or distribute by weight (don't put all heavy items in one box)
  • Think from the customer's perspective

Tip 2: Scan where possible

  • Scanning is much faster than manual search
  • Less chance of errors
  • Train employees to consistently scan

Tip 3: Count before closing

  • Check whether the quantity in the system matches the physical box
  • Count the products before taping the box closed
  • Better to discover an error now than at the customer

Tip 4: Clear stickers

  • Print stickers large enough to be easily readable
  • Stick them in a visible spot (top or front of box)
  • Not on places where tape will go over

Tip 5: Work systematically

  • First do all boxes for one customer
  • Only then move to the next customer
  • This prevents boxes from getting mixed up

Frequently asked questions

Question: Do I have to do this for every order?

  • No, only for orders with multiple boxes
  • Small orders that fit in one box don't need this
  • It's especially useful for large or complex orders

Question: What if I make a mistake?

  • You can remove products from a box and add them again
  • Open the box and adjust the quantity
  • Then print the stickers again

Question: Can I merge boxes?

  • Yes, you can put products from multiple boxes into one box
  • Remove the products from the old boxes
  • Add them to the new box
  • Remove the empty boxes

Question: How many boxes can I create?

  • As many as you need
  • There is no maximum
  • But try to stay logical (not 50 boxes for a small order)

Question: Do I see this on the packing slip too?

  • Yes, if this is configured in your system
  • The packing slip then shows per product in which box it is
  • This helps the customer when unpacking

What to do with problems?

Problem: Product cannot be scanned

  • Then use the manual method (click on New)
  • Find the product in the list
  • Add it manually to the box

Problem: Wrong quantity entered

  • Open the box again
  • Click on the product
  • Adjust the quantity
  • Click on Apply

Problem: Stickers don't print

  • Check whether the printer is on
  • Check whether there is paper in the printer
  • Try printing again
  • If it keeps failing, print from another printer

Problem: Forgot to create a box

  • Click on New to create another box
  • Add the missing products
  • Print the new sticker
