Synchronizing lists
Introduction: What is list synchronization?
List synchronization means automatically copying products from one or more lists to another list. When something changes in the original lists (new products, different prices, deleted products), these changes are automatically applied to the synchronized list.
Why use list synchronization?
With list synchronization you can:
- Automatically create a main list from multiple separate lists
- Save time by not having to manually copy products
- Ensure prices and products always stay up-to-date
- Have one central list that is automatically updated
- Have lists automatically update at fixed times
How do you synchronize lists?
Step 1: Create a new list (preparation)
Before you can synchronize, you need a destination list where the products will be copied to.
- Go to the "Lists" tile
- Create a new list (this becomes the list where everything is synchronized to)
- Give this list a name and save it
Step 2: Go to the synchronization menu
- Go to the "Sales" tile
- Click on "(Other) Synchronize lists"
- You now see an overview of all synchronization tasks
- Is the overview empty? Then you haven't created a synchronization task yet
Step 3: Create a new synchronization task
- Click "New" at the top
- Fill in the following information:
- Name: Give the synchronization task a recognizable name (e.g., "Synchronization roses to main list")
- From which lists: Choose the lists where the products should come from (you can choose multiple lists)
- To which list: Choose the destination list you created in step 1
- Synchronize: Choose which activities should take place:
- Create: New products from the source lists are added to the destination list
- Update: Existing products in the destination list are adjusted when something changes in the source lists (e.g., a different price)
- Delete: If a product is removed from the source list, it is also removed from the destination list
- Click "Save"
Step 4: Set synchronization times
Now we'll set when synchronization should happen automatically:
- Open the synchronization task you just created
- Check if all settings are correct (you can still adjust things here if there's an error)
- Click on "(General) Synchronization times"
- You now see an overview of the days and times when automatic synchronization happens
- Is the overview empty? Then it never happens automatically
Adding a synchronization time:
- Click "New" at the top
- Choose the day when synchronization should take place (e.g., every Monday)
- Choose the time in hours and minutes (e.g., 08:00 in the morning)
- Click "Save"
- Want the list to synchronize at multiple times? Then repeat these steps for each moment
Step 5: Manual synchronization (optional)
Don't want to wait for automatic synchronization? Then you can do it directly:
- Go to the overview of synchronization tasks
- Click on the task you want to execute
- Click "Synchronize" at the top
- The synchronization is now executed immediately
Done!
Your lists are now automatically synchronized at the times you set. All changes in the source lists are automatically applied to your destination list.
