Creating order and purchase lists

Introduction: What is an order or purchase list?

An order or purchase list is a collection of products that customers can order. You use this for your webshop or to quickly enter orders in Easyflor. Customers can then choose from this list what they want.

Why use order and purchase lists?

With lists you can:

• Display products on your webshop
• Quickly enter orders without having to search for all products each time
• Keep track of what you sell
• Create fixed product groups (e.g., a list for roses, a list for tulips)
• Manage prices and stock per list

How do you create and fill a list?

Part 1: Creating a new list

Step 1: Go to the lists menu

1. Go to the "Sales" tile
2. Click on "Lists" under "Virtual stock"
3. You now see an overview of all lists

Step 2: Create a new list

1. Click on "+New"
2. Fill in the following (not everything is required):

Required:

• List: Give your list a name (e.g., "Roses spring 2025")

Optional:

• Cancellation time: How long can customers cancel their order? (Doesn't work for VMPs, and labels can only be printed after this time)

• Type (price type): Choose from three options:

  • Indicative price: The price is not fixed and may change. Useful when prices fluctuate a lot
  • Purchase price: The price in the webshop is the purchase price plus your markups
  • Sales price: Use the fixed price from "purchase original" of the item

• Minimum sales unit: The smallest quantity customers can order via the webshop

• Location: Where should products from this list physically be stored?

• Administration: For companies with multiple administrations

• Is virtual list: Must be checked if the list only creates an order without the product immediately coming into stock

3. Click "Save"
4. Your list is now created but still empty

Part 2: Filling the list with products

There are four ways to add products to your list.

Preparation for all methods:

1. Go to "Sales"
2. Click on "Lists"
3. Click on the list you want to fill
4. Click on "Offer"

Method 1: Adding articles via +Article type

Use this method for products already in Easyflor.

Step 1: Choose an article type

1. Click on "+Via Article type"
2. Search and select the article type you want to add

Step 2: Fill in the article

• Name of the article
• Description of the article
• Container code
• Sales units: How many pieces are in a bunch or container?
• Properties: Add stem lengths, pot sizes or other characteristics
• Quantity: How many can be sold via the webshop?
• Price (purchase original)
• Image

3. Click "Save"

Method 2: Adding articles via VBN articles

Use this method to add an article via VBN number.

Step 1: Search VBN number

1. Click on "More..."
2. Click on "Via VBN articles"
3. Search and select the VBN number

Tip: Don't know the VBN number? Use 2001 (high VAT) or 1999 (low VAT).

Step 2: Check if article type exists

• Already exists? → Select it and fill in as in Method 1
• Doesn't exist? → Go to step 3

Step 3: Create new article type

1. Click "+New"
2. Fill in the form
3. Click "Save"

Method 3: Adding articles via Excel import

Use this method to add many products at once from an Excel file.

Step 1: Set up list for Excel import (do once)

1. Go to "Sales" → "Lists"
2. Select the list
3. Click "Edit"
4. Choose "Legacy" under "(Excel) Import template" and "Export template"
5. Click "Save"

Step 2: Download example Excel (optional)

1. Click "More..."
2. Click "(Export) to Excel"
3. Open and delete the top row

Step 3: Import the Excel

1. Fill in your Excel file
2. Click "More..."
3. Click "(Import) Via Excel"
4. Select your Excel file
5. Click "Import"

Method 4: Adding articles via previous purchases (EKT)

Use this method for products previously purchased via EKT.

Step 1: Filter purchases

1. Click "More..."
2. Click "Via purchases (EKT)"
3. Fill in filters:
   • Date from/to
   • Default supplier (optional)
   • Don't merge duplicate articles

Step 2: Select articles

1. Click "Compose"
2. Click on purchases you want in the list

Done!

Your list is now created and filled with products. Customers can now order from this list.
