Setting up webshop configuration
Introduction: What is webshop configuration?
Webshop configuration is setting up all options and settings of your online shop. This is where you determine how the webshop looks and how it works: from password settings to payment methods, from languages to what happens after an order. It's like the control panel of your webshop.
Why set up webshop configuration?
You want to set up the webshop configuration because:
- You determine how customers experience the shop
- You make the shop safe and user-friendly
- You can set which languages are available
- You control how and when orders are placed
- You determine what customers can and cannot see
- You adapt the shop to your way of working
- You retain control over payments and orders
How do you set up webshop configuration?
Step 1: Go to configuration
Opening configurations
- Go to "Shop"
- Click on "(General) Configurations"
- You now see one or more configurations

Choosing a configuration
- Click on the configuration you want to modify
- You now see all basic settings
- Below I explain each section
Section 1: Password settings
This is where you arrange everything around passwords for customers.
Enable password change
- On: Customers can change their own password after logging in
- Off: Customers cannot do this themselves
Send password recovery notifications
- On: If a customer clicks "forgot password" on the shop, the set email address (under Other) receives a notification
- Off: No notifications
Password change handled by admin
- On: Only employees of your company (admins) may change passwords for customers
- Off: Customers can do this themselves too
Enable password recovery
- On: The "forgot password" option is available on the shop
- Off: Customers do not see this option
Section 2: Customer settings
Enable customer registration
- On: An extra button appears on the shop where visitors can submit a request to become a customer
- Off: Only existing customers can log in, no new requests possible
Section 3: Language settings
Here you set which languages are available on the webshop.
Default language
- Choose the language customers see when they open the shop
- For example: Dutch, German, English
Supported languages
- Select which languages are available on the shop
- Customers can then switch between these languages
- Select multiple languages if you have customers in different countries
Language selector
- On: Customers see a button to switch language
- Off: Customers don't see this button (then there is only one language)
Section 4: Other basic settings
- Enter an email address here
- Notifications are sent to this address (such as password recovery notifications)
- Use an address that is read regularly
Login tokens
- With this you can create temporary links with which customers can log in without username or password
- Useful if a customer needs to take a quick look
- Default validity: 1 day (after which the link expires automatically)
When to order
- This determines the moment at which an order is final
- There are three options:
Option 1: Direct
- Clicking is buying!
- As soon as a customer adds a product to the shopping cart, the purchase is made
- Optional: You can set a cancellation time
Option 2: Confirm
- Customer must go to the shopping cart
- Manually click "Confirm" there
- Only then is the order final
- More control for the customer
Option 3: Payment received
- Order is only final after online payment
- Note: Only use this if you have a payment provider such as Mollie or Stripe
- Other payment providers are possible but require custom work
Payment provider
- Choose the default payment provider used on the shop
- Exceptions can be set per customer separately
Underlying users
- On: Customers of your customers (sub-users) may also log in to the shop
- They then receive their own storages/prices on top of those of the customer
- Useful for wholesalers with end customers
Section 5: Page settings
Closing time
- On: The set closing times are active on the shop
- Customers cannot then order outside opening hours
Start page
- Choose which page customers see after logging in
- Refers to a self-made page
- See the guide "Adjusting webshop pages" for creating pages
Shop navigation menu configuration
- Choose which navigation menu is active on the shop
- Useful if you want your own arrangement of list groups
- Instead of the default list group names
Contact page
- On: A contact page is visible on the shop
- Off: No contact page
Closing times page
- On: A page with closing times is visible
- Off: No closing times page
Section 6: Assortment settings
Use default language
- On: The shop always shows the default language, regardless of what the customer chooses
- Off: Customer can choose language themselves
Employee
- Choose which employee account is used for changes from the shop
- Adjustments are then in the name of this account
Price selectors
Multiple price selectors
- On: The price of each available sales unit is shown on the shop
- For example: price per piece, per bunch, per bucket
Open field for price selectors
- On: Customers must type the number at the sales unit
- Off: Customers can increase/decrease with clicks
Show price selectors for sub-debtors
- On: Sub-users (customers of your customers) can also use tiered pricing
Order settings
Order status
- On: Customers see the status of their order in the shop
- Off: Status is not visible
Minimum order amount
- Set a minimum amount that customers must order
- Customers cannot order if they are below this
- Note: Only works if "When to order" is set to "Confirm"
Maximum order amount
- Set a maximum amount that customers may order
- Orders above this amount are blocked
- Note: Only works if "When to order" is set to "Confirm"
Show assortment when closed
- On: Visitors can see the assortment without logging in
- The assortment of the chosen "Default debtor" is then shown
- Note: Always use in combination with "Require login for price"
Use grouped index
- On: The shop automatically groups items by type, grower, location and sales unit
- The oldest stock is always written off first
- Note: Only works if this has been built as custom work for your shop
Disable image cropping (mobile)
- Turn automatic cropping of images on phones/tablets on or off
Disable image cropping (desktop)
- Turn automatic cropping of images on computers/laptops on or off
Image sources
- Choose where the shop retrieves images from
- Multiple sources are possible (own photos, VBN database, etc.)
Default debtor
- Choose a customer whose assortment is shown when "Show assortment when closed" is on
Disable order day selector
- On: Customers always use the most recent order moment
- Off: Customers can choose which order moment they want themselves
Login
Require login
- On: Customers must log in before they can see or do anything on the shop
- This is the strictest option and overrides "Require login for price"
Require login for price
- On: Customers see the assortment, but only see the price after logging in
- They see the message "Login for price"
- Use in combination with "Default debtor"
Sorting
Default sort by
- Choose how items are sorted when the shop is opened
- For example: by name, by price, by newest
Sort options
- Select which sort options are visible to customers
- Customers can then choose how they want to sort themselves
Layout
Default layout
- Choose the default view for computer and laptop users
- For example: list view or tile view
Default mobile layout
- Choose the default view for phone and tablet users
Layout options
- Select which layouts customers can choose
- Customers can then choose their favorite view themselves
Other (assortment)
Reviews
- On: Customers can rate products on the shop
- Off: No reviews visible
Alternatives
- On: Alternative items are shown for products
- Off: No alternatives visible
Favorites
- On: Customers can mark items as favorite
- Off: No favorites function
Hide alphabet filter
- On: The alphabet filter is hidden
- Off: The alphabet filter is visible
Hide color bar image
- On: The color bar per image is hidden
- Off: The color bar is visible
General (filters and labels)
Default debtors
- Set a default debtor per language
- Useful if you have customers in different countries
Labels
- On: Tags are displayed as labels per item on the shop
- Customers can filter on these if the filter is active
Filters above
- Set which filters are shown above the assortment
Filters right
- Set which filters are shown to the right of the assortment
Filters left
- Set which filters are shown to the left of the assortment
Section 7: Shopping cart settings
Reviews
- On: Customers can see reviews in the shopping cart
Alternatives
- On: Customers see alternatives for products not ordered in the shopping cart
Disable manual checkout
- On: The "Confirm" button is removed from the shopping cart
- Customers can then not manually complete an order
- Useful if you only want automatic orders
Favorites
- On: Customers can mark items as favorite from the shopping cart
Enable order history
- On: Customers see in the shopping cart what they have previously ordered within the active order day
Completion action
- What happens after an order is completed? There are four options:
Option 1: Back to shopping cart
- After confirming, the customer sees the empty shopping cart
- Customer remains on the shop page
Option 2: Back to main page
- After confirming, the customer is sent back to the home page
- Useful if the customer wants to do something else afterwards
Option 3: Go to own chosen page
- After confirming, the customer goes to a page chosen by you
- Set the page in the "Page" field below
- For example a special "Thank you for your order" page
Option 4: Go to thank you page
- After confirming, the customer sees a thank you text
- Set the text in the "Thank you text" field below
- Personal and friendly for the customer
Page
- Set the page here if you choose "Go to own chosen page"
Thank you text
- Set the text here if you choose "Go to thank you page"
- For example: "Thank you for your order! We will get to work on it right away."
Section 8: Favorites
Page
- On: There is a page with all items marked as favorite by the customer
- Off: No favorites page
Section 9: Footer
- Free text fields to fill the bottom (footer) of the webshop
- Use this for contact information, opening hours, links, etc.
- What you fill in here is seen by customers at the bottom of every page
Section 10: Invoice settings
Outstanding amount
- On: A column "Outstanding" is visible in the invoice history on the shop
- Customers then see which part of invoices still needs to be paid
Show Export PDF
- On: Customers can download invoices as PDF file
Show Export Excel
- On: Customers can download invoices as Excel file
Enabled
- On: Customers can view their invoice history on the shop
- Off: No invoice history visible
Section 11: MPS
- On: Customers can export MPS overviews via the shop
- MPS stands for Milieu Project Sierteelt (sustainability certification for ornamental horticulture)
Section 12: Order settings
Show Export PDF
- On: Customers can download orders as PDF
Show Export Excel
- On: Customers can download orders as Excel
Hide still to be processed
- On: Only already processed items are visible in the order
- Off: All items are visible (including not yet processed)
Base order history on distributions
- On: The order history shows only items that have actually been distributed to customers
Enable RMA
- On: Per item in an order, a button appears to submit a return request
- Customers can thus submit a return themselves via the shop
RMA debtor categories
- Choose which customer groups may submit a return request
- Not all customers need to be able to do this
Enable forecast
- On: Customers can keep forecasts via the webshop
- Useful for customers who want to plan ahead
Enabled
- On: Customers can view their order history on the shop
- Off: No order history visible
Section 13: Useful links
- Add links to the footer (bottom) of the page
- Possibilities:
- Link to your home page
- Link to another page on the shop
- Link (redirect) to an external website
- Useful for: "About us", "Contact page", "General terms and conditions"
Section 14: User settings (payment conditions)
Lock text
- Text that customers see when they are blocked by a payment condition
- For example: "Your account is blocked because there are outstanding invoices"
Confirmation text
- Text that customers see when they have met the payment condition
- For example: "Your payment has been received, you can order again"
Redirect to exclusion page
- On: Blocked customers are sent to a separate page
- Use in combination with the lock text
- That page clearly states why they have no access
Allow unlocking after payment
- On: If a customer pays, the block is automatically lifted
- The customer can then order again immediately
Unlock payment provider
- Choose which payment provider is used for automatic unblocking after payment
- For example Mollie or Stripe
Block debtor after order
- On: If a customer orders above a set amount, the account is immediately blocked after the order
- Useful for enforcing credit limits
Practical examples
Example 1: Shop for logged-in customers with minimum order amount
- Require login: On
- When to order: Confirm
- Minimum order amount: €100
- Result: Customers must log in and order at least €100
Example 2: Public shop with price after login
- Require login: Off
- Show assortment when closed: On
- Require login for price: On
- Default debtor: Select a debtor
- Result: Visitors see products but "Login for price"
Example 3: Multilingual shop
- Default language: Dutch
- Supported languages: Dutch, German, English
- Language selector: On
- Result: Customers can choose language themselves
Example 4: Thank you page after order
- Completion action: Go to thank you page
- Thank you text: "Thank you for your order! We will make sure everything is ready."
- Result: Customers see a personal thank you text after ordering
Important tips
Tip 1: Test after every change
- Change a setting
- Reload the shop in a separate tab
- Check if it works as intended
- This way you see the effect immediately
Tip 2: Combine settings smartly
- "Show assortment when closed" + "Require login for price"
- "Block after order" + "Allow unlocking after payment"
- Some settings only work together with others
Tip 3: Pay attention to the payment option
- "Payment received" only works with Mollie or Stripe
- Check if your payment provider is set up before you turn this on
Tip 4: Adjust minimums and maximums carefully
- Minimum/maximum amounts only work with "Confirm"
- Test with a test account before going live
Tip 5: Email address under Other
- Don't forget to fill this in
- Without this you won't receive notifications
- Use an address that is read daily
Tip 6: Note your settings
- Write down which settings you have changed
- Useful if you want to look back later
- Or if something goes wrong

Question: Can I have multiple configurations?
- Yes, that is possible if you have multiple shops
- Each configuration is for a separate shop
- Choose the correct configuration when adjusting
Question: What if I accidentally set a setting wrong?
- Go back to the configuration
- Adjust the setting
- Save
- The change is immediately active
Question: Do all settings work immediately?
- Yes, changes are immediately active after saving
- Sometimes the customer must reload the page
- Possibly clear the browser cache
Question: Can I set settings differently per customer?
- Some settings are global (for all customers)
- Others can be adjusted per customer (such as payment method)
- Check the debtor settings for exceptions
Question: What is the difference between "Reviews" in Assortment and in Shopping cart?
- Assortment: Reviews visible at products in the overview
- Shopping cart: Reviews visible in the shopping cart
- You can turn them on/off independently of each other
