Setting up sales barcodes

Introduction: What are sales barcodes?

Sales barcodes are barcodes you can put on products to quickly scan them at the checkout or when ordering. Instead of manually looking up a product, you scan the barcode and the system immediately knows what the product is, what the price is and how many should be sold.

Why use sales barcodes?

You want to use sales barcodes because:

  • You can work faster at checkout or when entering orders
  • You make fewer mistakes (scanning is more accurate than typing)
  • Customers can be helped faster
  • Your employees don't need to remember what each product costs
  • The system automatically uses the correct price and sales unit

How do you set up sales barcodes?

Step 1: Create a sales barcode group

First we create a group where all barcode rules will go.

Go to the sales barcodes menu

  1. Go to the "Articles" tile
  2. Click on "(Other) Sales barcodes"
  3. Click "New"

Fill in the group

  1. Fill in the following information:
    • Name: Give the barcode group a recognizable name (e.g., "Checkout barcodes 2025" or "Roses price list")
    • Currency: Choose the currency (usually euro)
  2. Click "Save"

Step 2: Add barcode rules

Now we'll enter the actual barcodes with their prices and information.

Go to barcode rules

  1. Click on the group you just created
  2. Click "Sales barcode rules"
  3. You now see an empty overview (or a list with existing barcodes if you've added barcodes before)

Create a new barcode rule

  1. Click "New"
  2. Fill in the required fields:
    • Name: The name of the product (e.g., "Red roses bunch")
    • Barcode: The barcode number (e.g., "8712345678901")
    • Price: The sales price (e.g., 15.00 euros)
    • Per sales unit: The unit in which the product is sold (e.g., "bunch", "stem", "piece")

Optional fields (for more control): If you want to be more specific, you can also fill in:

  • Article group: If this barcode only applies to a certain product group (e.g., only for roses)
  • Maximum height: If the barcode only applies to products up to a certain height (e.g., only for roses up to 50cm)
  • Other filters: Depending on your system you can set more filters
  1. Click "Save"
  2. Repeat these steps for each barcode you want to add

Step 3: Ready to use

Your sales barcodes are now set up and ready to use!

How do you use them?

  1. Print the barcodes and stick them on the products
  2. At checkout or when entering orders, scan the barcode
  3. The system recognizes the product and automatically fills in the price and sales unit
  4. Done!

Practical examples

Example 1: Roses per bunch

  • Name: Red roses bunch 10 pieces
  • Barcode: 8712345001
  • Price: 15.00 euros
  • Per sales unit: Bunch
  • Result: When you scan this barcode, the system knows you're selling 1 bunch of red roses for 15 euros

Example 2: Loose stems

  • Name: White rose loose
  • Barcode: 8712345002
  • Price: 2.50 euros
  • Per sales unit: Stem
  • Result: When you scan this barcode, the system knows you're selling 1 loose white rose for 2.50 euros

Example 3: With article group filter

  • Name: Tulips bunch
  • Barcode: 8712345003
  • Price: 12.00 euros
  • Per sales unit: Bunch
  • Article group: Tulips
  • Result: This barcode only works for products from article group "Tulips"

Tips for working with barcodes

Tip 1: Use logical barcode numbers Try to come up with a system for your barcode numbers. For example:

  • 871001-871099 = Roses
  • 871100-871199 = Tulips
  • 871200-871299 = Lilies

Tip 2: Print clear labels Make sure the barcodes are big enough to scan easily and that the product name is on it so employees know what they're scanning.

Tip 3: Test the barcodes Before printing all labels, first test if the barcode works properly with your scanner.

Summary

Setting up sales barcodes is done in two steps:

  • First create a sales barcode group with a name and currency
  • Then add barcode rules with at least: name, barcode number, price and sales unit
  • Optionally you can add filters like article group or maximum height for more control
