Creating Sub Shop Users
How do you work with sub shop users in Easyflor?
What are sub shop users?
Sub shop users are accounts for your customers' customers. It works like this: you sell to Customer A, and Customer A wants to resell to their own customers (Customer B, C, D). With sub shop users, those customers of Customer A can log into your webshop to place orders.
Why use sub shop users?
The problem:
- Your customer wants to resell your products to their own customers
- Your customer's customers need to see what's in stock
- Your customer wants to manage their own accounts
- You want everything to go through your webshop
The solution:
- Your customer gets their own webshop account
- Your customer can create accounts for their customers
- Those customers can log in and order through your webshop
- You can set different prices (markup) per customer
Example:
YOUR COMPANY (the webshop owner)
↓
CUSTOMER A (your customer, has a shop user)
↓
Customer A's customers: Customer B, C, D (sub shop users)
Customer B, C and D can now:
- Log into your webshop
- See what's in stock
- Place orders
- Customer A manages their accounts
Part 1: Enabling sub shop users
Step 1: Activate the feature in your webshop
- Click on the "Shop" tile
- Click on "Configuration"
- Select your webshop
- Check: "Sub users"
- Click "Save"
Step 2: Make sure your customer has a shop user
Your customer (for example Customer A) must first have their own shop user account. Haven't done this yet? Follow the guide for creating shop users first.
Part 2: Creating sub shop users
You can create sub shop users in two ways:
Option 1: From Easyflor (as administrator)
Step 1: Go to the contact person
- Click on the "Organisation" tile
- Click on "Debtor"
- Click on "Contact person"
- Select the contact person who has the shop user (for example Customer A)
Step 2: Create a sub user
- Click on "Sub shop users"
- Click on "+New"
Step 3: Fill in the details
- Username: Choose a unique username for the sub customer
- Email address: For order confirmations and password reset
- Password: Choose a password
- Password confirmation: Type the password again
- Language: Choose the user's language
- Markup (optional): Choose a markup category if needed
- MarkupAddition: A fixed amount that is EXTRA added to the price for this customer
- For example: €0.50 extra per product
- MarkupPercentage: A percentage that is EXTRA added to the price for this customer
- For example: 10% extra on all prices
Step 4: Save
Click "Save"
Option 2: In the webshop itself (by your customer)
Your customer can create accounts for their customers themselves!
Step 1: Customer logs in
- Your customer (Customer A) logs into their shop user account
Step 2: Go to sub account overview
- Hover the mouse over the person icon in the top right of the webshop
- Select "Sub Account overview"
Step 3: Create a new account
- Click on "Create"
- Fill in the details:
- Username: Unique name for the sub customer
- Password: Choose a password
- Password confirmation: Type the password again
- Email address: For order confirmations and password reset
- Markup (optional): Choose a markup category if needed
- MarkupAddition: Fixed extra amount per product
- MarkupPercentage: Extra percentage on the price
- Click "Save"
Part 3: Managing markups per sub user
What are markups?
Markups are extra costs you add for the sub user. This way your customer (Customer A) can set their own profit margin for their customers.
Two types of markups:
1. MarkupAddition (fixed amount)
- A fixed amount added to each price
- Example: €0.50 per item
- Product normally costs €5.00 → sub customer pays €5.50
2. MarkupPercentage (percentage)
- A percentage added to the price
- Example: 10%
- Product normally costs €10.00 → sub customer pays €11.00
Adjusting markups in the webshop
Changing general markup:
- Log in as the main user (Customer A)
- Go to "Sub Account overview"
- Select "Edit" for the sub user
- Add a fixed amount at "Markup addition"
- Add a percentage at "Markup Percentage"
- Save
Markup per article group:
- Click "Create" in the top right
- Now you can add markups per specific article group
- For example: 5% extra for roses, 10% extra for tulips
Important: If you set a markup per article group, the general markup is ignored for that article group!
Practical example
Situation:
- You sell flowers through your webshop
- Florist Jan (your customer) wants to resell to their customers
- Restaurant De Bloem is a customer of Florist Jan
Setup:
- You create a shop user for Florist Jan
- Florist Jan creates a sub account for Restaurant De Bloem
- You set:
- MarkupAddition: €0.00
- MarkupPercentage: 15%
What happens:
- A rose costs €2.00 at your shop
- Florist Jan sees €2.00 (their purchase price)
- Restaurant De Bloem sees €2.30 (€2.00 + 15%)
- Florist Jan earns €0.30 per rose
Important tips
Tip 1: Communicate clearly with your customer
- Explain how the system works
- Make sure your customer knows how to create accounts
- Create the first sub user together
Tip 2: Set sensible markups
- Too high markups make products too expensive
- Too low markups give no margin for your customer
- Discuss this with your customer!
Tip 3: Use markups per article group wisely
- High margin on exclusive products
- Lower margin on basic products
- This keeps you competitive
Tip 4: Let your customer manage themselves
- It's convenient if your customer can create accounts themselves
- You don't have to help all the time
- Your customer has more control
Tip 5: Check regularly
- See if the markups are still correct
- Are there new sub users?
- Is everything running smoothly?
Common mistakes
Mistake 1: Feature not enabled
- Don't forget to check "Sub users" in the shop configuration
- Otherwise the system won't work!
Mistake 2: No shop user for your customer
- Your customer must FIRST have a shop user themselves
- Only then can sub users be created
Mistake 3: Wrong markups set
- Always check if the markups are correct
- Too high markups = customers don't buy
- Too low markups = no profit for your customer
Mistake 4: Forgot email address
- Without an email address, the sub user cannot reset their password
- Always fill in a valid email address!
