How do you set a cancellation time for orders in Easyflor?
What is a cancellation time?
A cancellation time is a "waiting time" before you can print or further process an order. If you set a cancellation time of 2 hours, you must wait 2 hours before you can handle the order.
Why use a cancellation time?
- Customers get time to cancel or adjust their order
- You prevent printing and distributing too quickly
- It gives customers "thinking time"
- You avoid unnecessary errors by working too fast
Note: Time notation
Time is written in Easyflor as: HH:MM:SS
- HH = Hours (for example 02 for 2 hours)
- MM = Minutes (for example 30 for 30 minutes)
- SS = Seconds (for example 00 for 0 seconds)
Examples:
- 2 hours = 02:00:00
- 30 minutes = 00:30:00
- 1 hour and 15 minutes = 01:15:00
Option 1: Setting cancellation time at location level
What does this mean?
If you set a cancellation time at location level, it applies to ALL orders at that location.
How do you do this?
- Go to "Organization" in the menu
- Click on "General"
- Click on "Location"
- Choose the location you want to set the cancellation time for
- Click on "Edit"
- Fill in the desired time at "Maximum cancellation time" (for example 02:00:00 for 2 hours)
- You may also leave this field empty - then no cancellation time applies
- Save
Option 2: Setting cancellation time at list level
What does this mean?
If you set a cancellation time at list level, it only applies to orders from that specific list.
How do you do this?
- Go to "Sales" in the menu
- Click on "Virtual stock"
- Click on "Lists"
- Choose the list you want to set the cancellation time for
- Click on "Edit"
- Fill in the desired time at "Maximum cancellation time" (for example 01:30:00 for 1.5 hours)
- You may also leave this field empty - then no cancellation time applies
- Save
Extra important with VMPs!
Note: With VMPs (Virtual Market Place) you can also set a cancellation time, but the VMP has already made the purchase from the VMP "Owner". Be careful with this!
What happens when you have set a cancellation time?
When a cancellation time is present:
- You cannot print the product under logistics distribution
- You cannot redistribute the product under logistics distribution
- This remains so until the cancellation time has passed
Special exception: Turning off cancellation time for one employee
Why would you want this?
Sometimes one person (for example the manager) must be able to print directly, even when there is a cancellation time. Then you can turn off the cancellation time for that person.
How do you do this?
- Go to "Organization"
- Click on "Employees"
- Choose the employee who should not have a cancellation time
- Click on "Edit"
- Go to "Settings"
- Check: "Do not use cancellation time"
- Save
Now this employee can always print and distribute directly, regardless of the set cancellation time!
Summary
- Location level: Cancellation time applies to all orders at that location
- List level: Cancellation time only applies to that specific list
- Empty field: No cancellation time = can print directly
- Individual employee: Can be exempted from cancellation time
- Time notation: Use HH:MM:SS (for example 02:00:00)
