How do you set up transport routes for your deliveries?
What are transport routes?
Transport routes are the trips your drivers make to deliver orders to customers. In Easyflor you can fully configure these routes with carriers, areas, vehicles and drivers, so you know exactly who, what, when and where is being transported.
Why set up transport routes?
- For efficient planning of your deliveries
- To know which driver drives which route
- For calculating vehicle capacity
- To assign customers to the right route
- For a clear transport administration
What do you need before you start?
For a working route system you need to set up the following parts:
- Transport Area Categories - To group areas (e.g., Region North, Region South)
- Transport Areas - The specific areas where deliveries are made
- Carriers - The parties that handle the transport
- Routes - The trips with the customer order
- Vehicles - The vehicles with their capacity
- Drivers - The people who drive the routes
Step 1: Create transport area categories
Why categories?
Categories help you logically group transport areas, for example by region or province.
How do you create a category?
- Go to the "Admin" tile
- Click on "Transport Area Categories"
- Click on "+ New"
- Enter the name of the category (e.g., "Flevoland" or "Amsterdam area")
- Click "Save"
Step 2: Create transport areas
What is a transport area?
A transport area is a specific area where you deliver, such as a city or district.
How do you create a transport area?
- Go to the "Admin" tile
- Click on "Transport Areas"
- Click on "+ New"
- Fill in the following details:
- Name: Choose a logical name where you can read the order (e.g., "01-Center" or "02-North")
- Category: Select the category this area falls under
- Country: Choose the country of the transport area
- Transport days (optional): Indicate how many days transport takes to this area
- This is useful for deliveries that take multiple days
- On the webshop these days are automatically added to the delivery day
- For example: with 2 transport days, an order on Monday is delivered on Wednesday
- Click "Save"
Step 3: Create a carrier
What is a carrier?
The carrier is the company or department that performs the transport.
How do you create a carrier?
- Go to the "Admin" tile
- Click on "Carriers"
- Click on "+ New"
- Fill in the following details:
- Name: The name of the carrier
- Carrier code: A unique code for this carrier
- Country: The country where the carrier is active
- Click "Save"
Step 4: Add vehicles to the carrier
Why add vehicles?
Per vehicle you can set the capacity by indicating how many trolleys fit in it. This determines the volume of the vehicle.
How do you add a vehicle?
- Select the created carrier
- Click on "Vehicles"
- Click on "+ New"
- Fill in the following details:
- Name: A recognizable name for the vehicle
- License plate: The license plate of the vehicle (optional)
- Click "Save"
Set the capacity
- Select the created vehicle
- You now see all available trolleys
- Indicate per trolley type how many fit maximum in this vehicle
- Fill in per trolley type how many fit if you would fill the entire vehicle with only that trolley type
- For example: 10 Danish trolleys and 150 crates
- This determines the total volume of the vehicle
- Save the capacities
Step 5: Create routes
What is a route?
A route determines which customers are visited together during a trip. You can group fixed customers in specific routes, or let the system calculate the best route order.
How do you create a route?
- Select the created carrier
- Click on "Routes"
- Click on "+ New"
- Fill in the following details:
- Name: A clear name for the route
- Parent route: If this route falls under another route (optional)
- Click "Save"
Tip for automatic route calculation:
- Want the system to calculate the best route itself? Then create one general route (e.g., "Main route")
- Link all customers to this main route
- The system then automatically calculates the most efficient order
- This is ideal if you don't need a fixed route order
Tip for fixed routes:
- Create separate routes for customers who should always be visited together
- For example: "Route Center" or "Route Industrial Estate"
- This way you keep control over specific customer groups
Step 6: Add drivers
Why add drivers?
Drivers link routes, vehicles and days together.
How do you add a driver?
- Select the created carrier
- Click on "Drivers"
- Click on "+ New"
- Fill in at least the last name
- Optionally add other contact details
- Click "Save"
Link route and vehicle to the driver
- Select the created driver
- Click on "Route per delivery day"
- For each day the driver drives:
- Select the day
- Choose which route is driven
- Choose which vehicle is used
- Click "Save"
Step 7: Link customers to routes
Now that routes are set up, you still need to indicate which customers are on which route.
How do you link a customer to a route?
- Go to "Organization"
- Click on "Debtors"
- Select the debtor who needs to be transported
- Go to "Configuration" → "Transport"
- Select:
- Carrier: Who transports this customer?
- Transport area: In which area is this customer?
- Route: On which route should this customer be?
- Save the settings
Done!
You have now successfully set up your transport routes. The system now knows:
- Which driver drives on which day
- Which vehicle is used
- Which route is followed
- Which customers are on which route
- How much capacity each vehicle has
This makes planning and organizing your transport much more efficient!
Extra tips:
- Use logical numbering in your route names for a better overview
- Regularly check if the vehicle capacity is still correct
